In line with the continuing development of the SOF website and the internet publication of the SOF Register, the SOF Council feel that it is appropriate to publish our policy with
respect to our data handling and your rights under the Data Protection Act (DPA).
The Data Protection Act 1998 was
implemented on March 1st 2000 and replaces the 1984 Act with a transitional
period until October 2001. Seeking to protect the fundamental rights and freedom
of persons, in particular their right to privacy in respect to processing of
personal data, the new Act strengthens regulations concerning the automated
processing of data.
The SOF Council has conferred
with several other alumni associations and their advisory bodies such as AROPS
(The Association of Representatives of Old Pupils Societies) and CASE (Council
for the Advancement and Support of Education) with respect to the effect of the
DPA on alumni records. We now wish to follow the general principles that are
established and in use by these other bodies.
One of the main issues of the
new act is concerned with whether an OF has given consent to the use and release
of personal details under specific circumstances. In this matter, OFs who have
joined the SOF are assumed to have done so in support of the stated objectives
of the Society and are thus deemed to have given implicit permission to the
Society for the use of their data in support of these objectives. The
Society’s stated objectives are:

to enable past members of
the school to keep in touch with one another;

to promote a bond of union
between past and present members of Framlingham College to their mutual
pleasure and advantage; and

to promote the interests of
the School in every possible way.
In support of this process, the
SOF has adopted the following policy with respect to data protection:
SOF Data Protection Policy
All data is securely held by the
SOF and will be treated confidentially and with sensitivity for the benefit of
the SOF and its members in line with the stated objectives of the Society.
The data is available to the SOF, its officers,
recognised networks such as Supper and Sports Organisers and to agents
contracted by the Society for particular SOF-related projects.
Data is used for a range of
Society activities, including the sending of the Old Framlinghamian magazine,
the promotion of benefits and services available to OFs and notification of SOF
events.
Under the terms of the Data
Protection Act 1998 you have the right to object to the use of your data for any of
the above purposes.
Should you wish to
object to information about yourself being revealed, please
contact the SOF Registrar. You may also like to access your Account Information page under the heading User Functions, and then put a check-mark in the box called Ex-Directory. This will prevent other users from seeing your Register details.
